Do you sell visit cards or subscriptions, such as a 10-visit card for the sauna or a yearly subscription for the club? With membership cards, you sell them as a normal product on Unipos PLUS. Unipage keeps track of the remaining visits or the validity for each customer. When your customer comes in, they scan their card on a scanner screen. Every scan and every change appears in the scan log.
What you need#
A customer with a membership card: the code of the card, badge or NFC tag is on the customer record. At the POS, you scan it when you create the customer, see Customers. On the management page, this is the NFC tag field on the customer record.
A reader that works as a keyboard: an NFC reader or barcode scanner that types the code on the device where the scanner screen is open.
A product that creates a membership, see below.
Creating a membership product#
A membership card is a normal product with an extra attribute. This tells the POS that it must create a membership when it sells the product.
Create the product like any other product, for example "10-visit card" or "Yearly subscription", with the right price and VAT.
On the product record, open the Attributes (Attributen) block and click Add.
Enter `create_membership` as the key, and one of these two formats as the value:
- `AMOUNT,10` for a visit card with 10 visits. Replace 10 with the number of visits.
- `DURATION,1:years` for a time-based subscription of one year. The first part is the number, the second is the unit: `days`, `weeks`, `months` or `years`. So three months becomes `DURATION,3:months`.Click Save.
Warning
Type the key and value exactly like this, with capital letters and without spaces around the comma. If you make a typo, the POS sells the product as a normal product, without a membership.
Selling at the POS#
Link the order to the customer with the customer button in the sales buffer.
Tap the membership product and take payment as usual.
At payment, the POS creates the membership on the customer record. If you sell several at once, the POS adds them together: two 10-visit cards become one card with 20 visits, and two yearly subscriptions become one subscription of two years.
Warning
Without a linked customer, no membership is created. So always link the customer before you take payment. Forgot? Then add the membership manually on the customer record, see further on.
If you refund the product via the receipt, the POS also takes back the visits or the subscription. For a visit card, the refunded visits are removed from the most recent card. For a time-based subscription, the most recent subscription expires.
Scanning on entry#
You open the scanner screen from the scan log: in POS mode, go to Membership card scan log (Scanlog lidkaarten) and click Open scanner (Scanner openen) at the top right. The screen opens in a new tab and fills the whole screen with the text Scan your membership card (Scan uw lidkaart). Set it up on a tablet or screen at the entrance, with the reader connected to it. You don't need to click anything: the reader types the code and the screen responds immediately.
Green screen: the card is valid. The customer sees Welcome, [first name] with below it Number of visits remaining or Subscription valid until and the date. If the customer has a profile photo, it is shown too.
Welcome back, [first name]: the customer already scanned today. At most one visit per day is deducted from a visit card, however often the card is scanned.
Red screen, User not found: the code doesn't belong to any customer. Check the code on the customer record.
Red screen, No valid subscription: the customer exists, but their visits are used up or their subscription has expired.
Red screen, Scanning failed: the screen got no response from Unipage. Check the internet connection.
Every result comes with a sound, and after three seconds the screen is ready again for the next card.
Memberships on the customer record#
On the management page, go to Customers, open the customer and choose the Memberships tab. For each membership, you see the type (Number or Duration), the number of remaining visits, the Valid until date, and when it was created and updated.
New membership: for cards you sold outside the POS, or when you forgot to link the customer. Choose the Membership type (Number or Duration), the Number of visits for a visit card, and Expires on.
Edit membership: change the number of visits or the expiry date, for example as compensation.
Delete: the card no longer counts on the scanner. It stays visible in the scan log.
If a customer has several valid cards, the scanner uses one at a time until it is used up or expires.
The scan log#
You find the Membership card scan log in POS mode via the command palette (Cmd+K, or type /), or open the scan log directly. At the top, you see how many scans there were today and how many events there are in total. Search by customer or code to see the history of a single card.
Each line shows the date, the customer, the scanned code, the event and the number of remaining visits after that event:
Valid: a scan where a visit was deducted or the subscription was valid.
Already scanned today: a second scan on the same day, without an extra visit.
No valid subscription: the customer has no visits or valid subscription left.
Unknown card: the code doesn't belong to any customer.
Activated: a membership was created, via the POS or manually on the customer record.
Refunded: visits or a subscription taken back after a refund at the POS.
Updated and Deleted: manual changes on the customer record.
This way, you can see at a glance who came in today, why a card was refused, and where a membership comes from.
