With the events module, you put an event online in a few minutes: a BBQ, a workshop, a members' party. Customers register via a public page on your webshop and pay online straight away if you charge a price. You keep track of all registrations in the management page.
Creating an event#
Go to Events and click Add event (Evenement toevoegen) at the top right. The form has three parts.
General#
Name: the title of your event, for example "Summer BBQ".
Description: tell your customers what to expect. This text appears on the public page.
Location: where the event takes place, for example "Clubhouse, Strandlaan 1".
Date and Start time (Startuur).
Registrations#
Registration deadline (Deadline inschrijvingen): how long customers can register. If you leave this empty, they can register until the event starts.
Price per person: the amount each participant pays. If you enter 0, the event is free and nobody needs to pay.
Maximum number of places (Maximum aantal plaatsen): the total number of participants. Empty means unlimited.
Maximum people per registration (Maximum personen per inschrijving): how many people one customer can register at once (default 10).
Multiple rates (Meerdere tarieven): switch this on if you want different prices, for example for members, adults and children. You then get a list of rates, each with a name and a price per person (up to 10 rates). Each person counts towards the maximum number of places, and the prices are added up into one total amount.
Event active (Evenement actief): the event is only visible and bookable for customers once this is switched on. You can also switch this on and off later with the toggle in the overview.
Questionnaire (optional)#
Do you want to know something extra about your participants, such as their menu preference? Click Add question (Vraag toevoegen). For each question, you choose a type: Text, Long text (Lange tekst), Number (Getal) or Dropdown list (Keuzelijst), where you enter the choices yourself, for example "Vegetarian" and "Meat". With Required, the customer must answer the question before they can register. With Show to customer (Tonen aan klant), you temporarily hide a question without deleting it. You can see the answers for each registration and in the export.
Click Create event (Evenement aanmaken). You can edit it later by clicking the name of the event in the overview.
Sharing the public page#
Every event gets its own page on your webshop. You can find the link under Public page (Publieke pagina), both in the overview and at the top of the event itself. Share that link via your newsletter, social media or your website. As long as there is an active event in the future, your webshop also automatically gets an Events button in the navigation bar, with an overview of all planned events.
On the page, your customer sees the date, the location, the price, the registration deadline and how many places are still available. Registering works like this:
The customer enters their name, e-mail address and, optionally, their phone number.
They choose the number of people, or how many people per rate.
They answer your extra questions.
For a paid event, they click Register and pay and pay online via the payment method of your webshop. For a free event, the registration is complete straight away.
After a successful payment, the customer sees a confirmation on the page and receives a confirmation e-mail with the date, the location, the number of people, the amount paid and their answers to your questions. If the payment fails, the places stay available and the customer can try again straight away.
Good to know
While the customer is paying, the places are held for 30 minutes, so that an event doesn't get overbooked. If the event is full or the deadline has passed, the page shows that instead of the registration form.
Following up registrations#
In the overview, click the number of registrations, or open the event and click View registrations (Bekijk inschrijvingen). At the top, you see the number of confirmed people, the number of registrations and the confirmed revenue. For each registration, you see the name, the contact details, the number of people (per rate), the amount with the payment status (Paid or Not paid (Niet betaald)), the status, the answers and the time of registration.
A registration has one of these statuses:
Confirmed: paid, or registered for a free event.
Pending (In afwachting van betaling): the customer is still paying.
Cancelled: cancelled by you, the places are free again.
Do you want to cancel a registration, for example because a customer phones to say they can't come? Click Cancelling next to the registration. The places become available again straight away.
Warning
Cancelling does not send an e-mail to the customer and does not refund anything automatically. Let the customer know yourself and arrange any refund via your payment provider.
With Export CSV (Exporteer CSV), you download all registrations as a file that you open in Excel, with the contact details per person, the number of people per rate, the amount, whether it has been paid, and a column for each question in your questionnaire. Handy as a participant list at the entrance.
Good to know#
You can delete an event with the bin icon in the overview. The registrations are kept.
If you change the rates later, existing registrations keep the price the customer registered at.
Every paid registration is also booked as an order, with the description "Inschrijving" followed by the name of the event and the number of people. This way, the revenue from your event is included in your orders and reports.
