Table QR codes

With a QR code for each table, your guests simply order with their smartphone. They scan the code on the table, pick from your menu and place their order, with or without online payment. The order arrives on the POS. If you link the code to a table in your table plan, it goes straight to the right table. It's more comfortable for the guest and saves your team time.

How it works#

  1. On the management page, you create a QR code for each table and place it on the table, for example with the flyers you download there.

  2. You link each code to the matching table in your table plan.

  3. The guest scans the code, sees your menu and orders. Depending on your settings, they pay online straight away or afterwards to your team.

  4. The order appears on the POS: paid orders as a completed receipt, unpaid orders as open lines on the table.

Creating QR codes#

On the management page, go to Settings > QR codes tables. (Instellingen > QR codes tafels) In a business without a POS, the same page is called Digital menu. At the top you find the payment settings. Below them is the list of your tables, which is still empty the first time.

  1. Payments: here you choose whether guests pay online, on-site or both. See Payments below.

  2. Save: saves the payment settings. The tables themselves are saved straight away.

  3. Add table: creates the first QR code. Once there are tables, the same button is at the bottom of the list as Add a table.

Adding tables#

Click Add table and type the name of the table, for example Table 1. Do you want to create all your tables at once? Then put each name on its own line: Unipage creates one QR code per line.

Click Ok and the tables appear in the list. You can still change the name later. The QR code itself does not change as a result.

The list of QR codes#

Each table automatically gets its own code with its own link. You manage everything from this list.

  1. Table: the name of the table, as you see it on the flyer and on the order.

  2. QR: the code itself and the link it leads to. Click it to open the menu as the guest sees it.

  3. Action: use the pencil to change the name and the options, and the bin to delete the table.

  4. Download all flyers: a PDF with one sheet per table showing its QR code. See Downloading flyers below.

  5. Remove all: empties the whole list.

Warning

If you delete a QR code, the code on the flyer stops working straight away and the linked table in the table plan loses its link. It's better to rename a table than to delete it and create it again.

Options per QR code#

Click the pencil next to a table to open the Table window. There you change the name and set two options.

  1. Request customer information: the guest enters their name, phone number and e-mail address when ordering. This is useful if you want to be able to find the order again or get in touch. Leave it off for the fastest possible ordering process.

  2. Customer identifies table: the guest chooses or types their own table number. This means one code is enough for a whole zone. See below.

One code for a whole zone#

Don't want to put a separate code on every table, for example on a terrace or at an event? Then create one QR code for the whole zone and let the guest say where they are sitting. First create the code with a recognisable name.

Then open the options of that code with the pencil and turn on Customer identifies table.

  1. Customer identifies table: turns on the question about the table number when ordering.

  2. Table options (one per line): the tables the guest chooses from. If you leave the field empty, the guest types their table number in a free text field.

This is what the guest sees when ordering:

In the Confirm your order window, the guest picks their table from the list (1), or types it themselves if you did not enter any options. The chosen or typed number goes on the order as the table name, so your team knows where to take it. You don't link a zone code like this to a single table in the table plan. The order arrives in the orders bar of the POS, with the table number on it.

Payments#

At the top of the page, you choose how guests pay. Click Save after you change anything.

  • Receive online payments: the guest pays straight away with their phone, using the online payment methods of your webshop. The order arrives on the POS already paid.

  • Receive offline payments: the guest orders without paying and settles up afterwards with your team, at the table or at the bar.

If you turn on both, the guest chooses: when confirming, they see Pay online (recommended) next to Paying cash. If you turn on offline only, there is no payment step and the QR code works as a digital menu card that the guest orders from.

Downloading flyers#

Click Download all flyers for a PDF with one A5 sheet per table, showing the QR code and the table name. Print them and put them on the tables. Prefer your own design? You can copy or save the QR image in the list and send it to your printer. The code keeps working as long as the table exists.

Linking the code to the table plan#

To put an order on the right table automatically, you link each QR code to a table in your table plan. Open the area in Managing the table plan, click the table and, in the Edit table panel, click Link QR code under Online. Choose the code with the same name and save the plan. On the POS, you recognise a linked table by the small QR icon in the corner.

Without a link, the order still arrives, but as a normal online order with the table name on it, and not on the table itself.

What your guest sees#

After scanning, your menu opens on the phone, set to on-site, without a time slot. The guest adds products to their basket and taps Order for eat in. Then the Confirm your order window appears, with only what you set for that code.

If Request customer information is on, the guest enters their name, phone number and e-mail address. If Customer identifies table is on, they choose their table from the list of table options, or type it themselves if you did not enter any options. If you accept both online and offline payments, they also choose here between paying online or paying cash. After Confirm, they see a confirmation page with the status Your order will be prepared. When your team sets the order to started on the POS, this changes to Your order is ready.

Menu planning treats the QR code as a channel of its own (Digital menu). This way you can show a more limited range through the code than on the webshop, for example, or different prices during an event.

What happens on the POS#

A QR code is really an entrance to your webshop: the guest orders in the same webshop as your pickup and delivery customers, but the code puts it in table mode (on-site, without a time slot, with the table name on it). For the POS, a QR order is therefore a webshop order. It arrives via the webshop button and the orders bar at the top of the POS screen, and you handle it as described in Handling online orders. If Print webshop orders automatically is on in the POS settings on the management page, the POS processes them by itself. Otherwise, you open them from the bar.

Linking to the table plan changes that. If the QR code is linked to a table and the guest does not pay online, the POS does not put the order in the webshop list but straight onto that table. The ordered lines show as an open order on the table, as if your team had entered them themselves. If the guest orders again, those lines are added, and you settle the bill as you do for any table. See Tables.

In short:

  • Linked table, paying cash: the order appears on the table in the table plan, not in the webshop list.

  • Paid online: the order has already been paid. It arrives as a paid webshop order: the POS prints the kitchen receipt and registers the sale, and nothing stays open on the table.

  • No linked table: the order appears in the orders bar with the table name as a reference, and your team takes it to the right table themselves.

In your printers settings, you can use a rule per source to decide where QR orders are printed, for example only in the kitchen.
