The customer profile

Every customer you link on the POS has a profile on the management page. There you can see their receipts, manage their membership cards, wallet and loyalty points, and give them properties that your team sees on the POS, such as a fixed discount percentage or an internal note. In POS mode, go to Customers (Klanten) in the navigation bar.

Your customer database is shared across all your locations: a customer you create in one shop is immediately available in the other too.

The customer list#

At the top, you choose which customers you see: Active customers (Actieve klanten), Deleted customers (Verwijderde klanten) or All customers (Alle klanten). Search by name or e-mail address and click a customer to open the profile.

  • Quick entry (Snelingave): add a customer quickly. Choose the Customer type (Type klant) (Consumer (Consument) or Company (Bedrijf)), enter the first name, last name and e-mail address, and for a company also the company name and VAT number. The e-mail address is required and must be unique.

  • Import customers (Klanten importeren): upload a CSV file (maximum 10 MB) to add many customers at once, for example from a previous system. First download the template via Download Template. Required columns are `firstname`, `lastname` and `email`. Optional columns include `phone`, `birthday`, the address, `notes`, `marketing_consent`, `wallet_balance`, `nfc_uid` and `loyalty_points`. This way, you also import existing wallet balances, loyalty points and membership card codes straight away.

  • Export (Exporteer): download the displayed list as a CSV, with each customer's wallet balance, loyalty points, NFC code and your own metadata columns.

The profile#

Details#

First name, last name, e-mail address, phone, company name, VAT number and the NFC tag: the code of the customer card, badge or NFC tag that the customer uses to identify themselves on the POS and on the scanner. Click Edit to change them.

If the customer has a webshop account with the same e-mail address that is not linked yet, the profile suggests linking it: click Link account (Account koppelen) and the POS customer and the webshop account become one. With Reset password (Wachtwoord resetten) you send that customer an e-mail to choose a new password.

History#

All POS receipts of this customer, with date, total and payment method. With Export (Exporteren) you get them as a report, handy for a company customer who asks for an overview of their purchases.

Memberships#

The customer's punch cards and subscriptions: create, adjust or delete them. You can read everything about this in Membership cards and subscriptions.

Metadata#

Under Attributes (Attributen), you give the customer properties that the POS recognises. Click Add attribute (Attribuut toevoegen) and choose:

  • Discount percentage (Kortingspercentage): a fixed percentage for this customer, for example 10 for a regular customer or a staff member. When your team links the customer to an order, the POS shows a notification with the button to apply that discount. The discount is not applied automatically: the cashier decides per order.

  • VIP customer (VIP klant): the POS shows a prominent notification as soon as the customer is linked, so your team recognises them.

  • Staff member (Personeelslid): same, with the notification that this is a staff member. Combine it with a discount percentage for the staff discount.

  • Internal notes (Interne notities): free text that the cashier sees as soon as they link the customer, for example "Always pays by invoice" or "Allergic to nuts". The customer never sees these notes.

Under Metadata columns (Metadata Kolommen), you store your own data per customer, with a Key (Sleutel) and a Value (Waarde), for example `badge_nummer` and `12345` or `lidnummer_club` and `A-204`. The POS does nothing with them. They appear on the profile and in the export, each as its own column.

Wallet#

The customer's prepaid balance, see Customer wallet. If the customer does not have a wallet yet, click Create wallet (Wallet aanmaken). It starts at 0,00 euro. With Add transaction (Transactie toevoegen) you book a Deposit or a Withdrawal with an amount and a note, for example to transfer a balance from a previous system or to correct a mistake. Every booking appears in the Transaction history (Transactiegeschiedenis).

Loyalty#

The customer's loyalty points, see Loyalty. Click Activate loyalty (Loyalty activeren) if the customer does not have a loyalty card yet. With Adjust points (Punten aanpassen) you add or subtract points, with a note as the reason. This way, you give a customer points as compensation, or correct an order that was booked incorrectly.

Deleting a customer#

At the bottom of the profile, click Delete (Verwijderen). The customer disappears from the customer picker on the POS and from the active list, but their receipts and history are kept. Made a mistake? At the top of the customer list, choose Deleted customers, open the customer and click Restore (Herstellen).
